Rules that make reminders work

  • Include the amount, the job and the link every time, so the customer never has to look anything up.
  • Send the first reminder quickly (within a day or two), while it's still a memory, not a grudge.
  • Be warm first, firm later. Most late payers simply forgot.
  • Keep it short. One ask per message.

The friendly first nudge

1. Next-day reminder

Hi [Name]! Quick reminder from [Business]: your $[amount] payment for [job] is still open. You can pay securely here: [link]. Thank you!

2. Soft, assumes they forgot

Hi [Name], hope you're happy with [job]! In case it slipped through the cracks, here's the payment link again: [link]. Appreciate you!

3. When you sent a link and want to make sure it arrived

Hi [Name], just checking that the payment link I sent for [job] came through okay. Here it is again: [link]. Let me know if anything isn't working.

A week later

4. Following up, open to problems

Hi [Name], following up on the $[amount] for [job] from [date]. If anything about the work wasn't right, please tell me and I'll make it right. Otherwise you can pay here: [link].

5. With a due date

Hi [Name], your invoice for $[amount] was due on [date]. Could you take care of it by [new date]? Here's the link: [link]. Thank you!

6. Offering an easier way to pay

Hi [Name], if it's easier, you can pay the $[amount] by card, Apple Pay or Google Pay here: [link]. No account needed. Takes about a minute.

7. Second follow-up

Hi [Name], I haven't received payment for [job] yet. The balance is $[amount]. Please pay by [date] using this link: [link]. If there's a problem, call me and let's sort it out.

8. Clear deadline

Hi [Name], this is a reminder that $[amount] for the work on [date] is now [X] days past due. Please pay by [date]: [link]. I'd rather resolve this directly with you.

9. Final notice

Hi [Name], this is my final reminder about the $[amount] owed to [Business] for [job]. If I don't hear from you by [date], I'll need to consider other options to collect. Please pay here: [link] or call me to talk it through.

11. After a payment fails

Hi [Name], it looks like the payment for [job] didn't go through. No worries, sometimes cards get declined. You can try again or use a different card here: [link].

How often should I send reminders?
